Terms and Conditions for Booking Premium Private Hire with Cotswolds Drive
These terms and conditions apply to all bookings made with Cotswolds Drive. By using our service, you agree to abide by the following terms.
1. Passenger Conduct

All passengers are expected to behave in a safe, respectful, and appropriate manner during the journey.

Smoking and the consumption of illegal substances are strictly prohibited inside the vehicle.

Passengers must follow reasonable requests made by the driver to ensure safety and comfort.
2. Damage to the Vehicle

Passengers are responsible for any damage caused to the vehicle as a result of their actions (e.g., spills, stains, breakages). This includes both interior and exterior damage.

The cost of repairing any damage will be determined by an authorised repair service. Passengers will be invoiced for the full cost of repairs, which must be settled within 3 days.

Failure to settle the invoice may result in legal action and additional recovery costs.
3. Luggage Capacity
We can only accommodate a maximum of 4 extra-large luggage (77 cm x 51 cm x 32 cm) along with 4 cabin bags.
4. Children’s Car Seat
If you require a child car seat or booster, please inform us before your journey. A fee of £15 will be added to your final payment.
5. Insurance Policy
Only pre-booked passengers are fully insured. Passengers without a pre-booking will not be covered by our insurance policy.
6. Cleaning and Soiling Fees

A cleaning fee of £300 will be charged if a passenger soils the vehicle (e.g., vomiting, excessive dirt). This fee covers the cost of professional cleaning and any downtime required to restore the vehicle.

For other types of minor damage or soiling, a reduced cleaning fee of £150 may be charged, depending on the extent of the mess.
7. Food and Drink Policy

Consumption of food and beverages inside the vehicle is discouraged to avoid spills and damage.

Any damage or soiling resulting from food or drink will incur a cleaning fee as specified in clause 6.
8. Liability for Passenger Belongings

Cotswolds Drive is not liable for any personal belongings left behind in the vehicle. Passengers are responsible for ensuring they collect all their belongings before leaving the vehicle.

Lost items will be kept for 7 days, after which they will be disposed of or donated if unclaimed.
9. Waiting Time and Cancellations

Waiting Time: If the passenger is not ready at the scheduled pick-up time, a waiting charge of £ 1 per minute will apply after the first 10 minutes.with the maximum waiting time 30 minutes.

Cancellation Policy: Bookings must be cancelled at least 3 days before the scheduled pick-up time. Cancellations made less than 24 hours prior will incur a charge of 50% of the booking price.
10. Passenger Rights and Refunds

Passengers have the right to expect a professional and courteous service.

Refunds are not applicable for issues arising due to passenger conduct or lateness.
11. Payment Terms

Full payment is due prior the journey unless otherwise agreed.

If additional costs arise during the journey (e.g., for cleaning or repairs), an invoice will be issued for those charges. Payment must be made within 7 days of receiving the invoice.

Failure to make payment within the specified time may result in legal action and recovery of additional costs.
12. Termination of Service

The driver reserves the right to terminate the service if a passenger’s behaviour is deemed inappropriate, dangerous, or illegal. In such cases, no refunds will be provided, and passengers remain responsible for the full fare and any additional costs incurred.
13. Data Protection and Privacy

Any personal data collected during the booking process will be handled in compliance with the UK Data Protection Act 2018 and GDPR.

Personal information will only be used for the purposes of managing the booking and ensuring service quality. Data will not be shared with third parties without consent.
14. Complaints and Dispute Resolution

Any complaints must be submitted in writing to cotswoldsdrive@gmail.com within 3 days of the journey.

We aim to resolve all disputes amicably. If a satisfactory resolution cannot be reached, disputes may be escalated to the relevant UK regulatory body or small claims court.
15. Applicable Law

These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
16. Acceptance of Terms

By entering the vehicle, you accept these terms and conditions. Any breach of these terms may result in additional charges or legal action.
Acknowledgment
By using our services and accepting this invoice, you agree to the above terms and conditions, including any charges that may be incurred due to damages, soiling, or cancellation.

Liability and Consumer Rights: Under UK law, businesses must act in accordance with the Consumer Rights Act 2015, which requires services to be provided with reasonable care and skill. Your terms must not infringe upon consumer rights, so avoid unfair penalties or hidden charges.
